Share the jobs

The usual reunion is organised by one person who then spends it refilling drinks. Handing out the food, the activities and the chasing is how the organiser gets to attend.

Agree the money before the deposit. Every fair way of splitting it works if it is agreed first, and none does if it is raised afterwards.

Six months to a year, depending on how far people travel. The date is the thing that needs the most notice, which is why this plan asks everybody before a venue is even considered.
Agree the approach before booking anything: an equal share per household, a charge per person, or the venue split and everybody bringing food. Any of those works, and all of them go badly when the question is raised after the deposit has been paid.
A shared meal, a group photograph, a table of old photographs, and something outdoors that nobody has to be good at. One planned thing per half-day is plenty; the rest of the time is the reason people came.
